Operational capability / client pipeline
Client pipeline and outreach route
01 / THE PROBLEM
The Problem
In high-volume B2B sales and recruiting, the bottleneck is often the manual work required to find the right person before the closing conversation can happen.
The sales team had fragmented sourcing, enrichment, qualification, and campaign entry steps, making repetition, duplicate control, and rapid targeting changes difficult.
- Manual prospecting fatigue: SDRs and recruiters spent hours searching, copying profiles, and guessing contact information.
- Unqualified outreach: Weak filtering pushed poor-fit contacts into campaigns and wasted follow-up effort.
- Technical bottlenecks: New search criteria required a developer to rewrite sourcing logic.
- Fragmented tooling: LinkedIn, Apollo, spreadsheets, and sending tools created duplicated data paths.
02 / THE HURDLES
The Hurdles
- Aggressive deduplication: Real-time sourcing needed duplicate control before contact reached outreach.
- Subjective lead quality: The route needed an evaluative fit layer, not only keyword matching.
- Multi-tool orchestration: Apify, Apollo, OpenAI, PostgreSQL, and SmartLead needed a controlled handoff.
- Operational handoff: The sales team needed to adjust criteria without relying on an engineer.
03 / THE SOLUTION
The Solution
SysRoutes engineered a closed-loop n8n architecture that moved a lead from raw search criteria to an active personalised email campaign with defined controls.
The system accepted ICP criteria, generated targeted sourcing queries, enriched and scored profiles, enforced a configurable qualification threshold, deduplicated records, and placed approved contacts into SmartLead campaigns. A database-driven control layer let non-technical operators adjust criteria and filters.
